Who we are and what this notice covers

Insurance applications, quotes, policy service and other specialized workflows can involve additional information and notices presented in those workflows. This notice does not replace an insurance privacy notice or other disclosure required for a particular transaction. Separately operated services have their own privacy practices.

Information we collect

Information you provide. When you contact us or apply to partner with us, we collect the contact and business information you submit, such as your name, email, phone number, business or agency name, address, state and message. We also keep related communications. Provide only what is needed for your request; do not send sensitive personal information or confidential documents through the general inquiry form.

Information used to operate the website. Our hosting, network and security providers process technical information needed to deliver and protect the website, such as IP addresses, requests, timestamps and device or browser information. Privacy-preference storage allows the website to remember your choices.

Limited website measurement. We use PostHog in cookieless mode to measure visits to public marketing pages and selected marketing-link clicks. We limit event information to approved page categories, interaction types, nonsensitive campaign labels and the technical information needed for this measurement. PostHog processes IP address and browser information to calculate a daily measurement identifier; it does not store a persistent analytics identifier in your browser. We do not attach names, emails, account identifiers or form contents to these events, create person profiles, or enable session replay. We configure the service to discard client IP data. Cookieless measurement still involves processing information; it does not mean that no data leaves your browser.

How we use information

We use information to respond to inquiries; evaluate partner applications; communicate about requested services; operate, troubleshoot and secure the website; honor privacy choices; maintain appropriate business records; and meet applicable legal obligations. We use the limited visit and interaction information described above to improve our public marketing pages and understand campaign traffic.

Who receives information

Authorized CARMA personnel and providers supporting website hosting, form processing, business email, security and analytics receive information needed for their functions. General inquiry and partner forms are processed through our backend and delivered to CARMA's business email for review.

Where necessary for a service you request, we may provide relevant information to the insurer, producer or other insurance participant involved in that service. Additional information handling for an insurance application or transaction is addressed through that workflow. We may also disclose information when required by law or reasonably necessary to protect legal rights and security.

We use Meta to advertise our business, but under this website configuration we do not install Meta Pixel, send website events through Meta Conversions API, upload customer lists to Meta, or forward PostHog records to Meta. Meta processes interactions with advertisements on its own services under its own privacy notice. Limited PostHog measurement can record approved nonsensitive campaign labels associated with a visit from an advertisement.

Cookies, tracking and your choices

Essential technologies support website delivery, security and remembering your choices. Our cookieless measurement does not use analytics cookies or store a persistent analytics identifier in your browser. You can stop this measurement for your browser through Privacy Choices. We store only the preference needed to remember that choice. Turning measurement off does not prevent you from making an inquiry.

Under this configuration, we do not use website tracking for cross-context advertising. We also disable this limited website measurement when your browser sends Global Privacy Control. We do not separately respond to the older Do Not Track browser signal; Privacy Choices remains available. Choices apply to the browser where they are made.

Retention and protection

We retain inquiry and partner information as needed to respond, evaluate the request, maintain relevant business records and satisfy legal obligations. Retention depends on the nature of the request, whether a business or insurance relationship follows, and applicable recordkeeping or dispute requirements. Analytics retention is one year. Security and delivery logs are retained according to their operational purpose and applicable requirements.

We use safeguards appropriate to the information and services involved. No website or transmission method can guarantee absolute security. Please avoid sending unnecessary sensitive information through general inquiries.

Privacy requests

Contact sales@carma365.com with "Privacy request" in the subject line to ask about the information we hold or request a correction or deletion. Depending on applicable law and the information involved, you may have additional rights to access, obtain a copy, correct, delete, opt out of certain uses, or appeal a decision. Some insurance and business records are subject to legal retention requirements or exceptions.

We may need information to verify an access or deletion request and the authority of someone acting for you. We will explain our response and any applicable appeal process. We do not penalize you for exercising rights protected by applicable privacy law. You do not need to submit identifying information merely to reject optional tracking through Privacy Choices.

Children

This website is intended for business insurance inquiries, not children. Please contact us if you believe a child has submitted personal information so we can address it appropriately.

Changes and contact

We will update this notice when our practices change and show the new effective date. Where required, we will give additional notice or obtain permission before applying a material change.
