Account brief

## What to know

**Do not describe a multi-state operator as one undifferentiated business**

Build a matrix that shows which legal entity holds each license, owns each asset, employs each worker, signs each contract, and performs each activity at each location.

**A useful state and entity matrix includes**

Legal entity, ownership, tax classification, license, DBA, and responsible person

**Use primary state sources**

Requirements differ by jurisdiction and can change.

## Do not describe a multi-state operator as one undifferentiated business

That matrix gives legal, compliance, tax, insurance, and operational reviewers the same starting facts.

## A useful state and entity matrix includes

- Legal entity, ownership, tax classification, license, DBA, and responsible person

- Location, lease or ownership, permitted activity, products, revenue, payroll, and values

- Transportation, delivery, vendors, customers, data, cash, and intercompany services

- State regulator source, checked date, requirement owner, evidence, and update trigger

- Policies, named insureds, schedules, territory, limits, deductibles, and required endorsements

- Open applications, acquisitions, closures, material changes, losses, and corrective actions

## Use primary state sources

Each state statement should link to the exact regulator, statute, regulation, form, or guidance document and show a checked date. A generic national summary is not a substitute for state counsel or current agency instructions.

## Give the broker a state-by-state change summary

The matrix becomes more useful when it highlights what changed since the last submission. For each state, note new or amended licenses, locations, products, contracts, employees, vehicles, values, and operating plans, then identify the record that supports the current entry.

Keep legal and regulatory conclusions with qualified advisers. The broker can use the same matrix to reconcile named insureds, schedules, territory, requested coverage, and policy requirements without treating one state's facts as proof of another state's position.

- Use one row for each legal entity, license, activity, and location

- Link each regulatory statement to the current primary source and checked date

- Identify intercompany services, property ownership, employees, and contracts

- Flag acquisitions, openings, closures, and other changes before market review

Important insurance and legal information
CARMA's website provides general information only. It is not insurance, legal, tax, regulatory, underwriting, safety, risk-management, or claims advice. Nothing on this site is a quote, binder, policy, coverage determination, legal opinion, or promise of eligibility, availability, pricing, terms, limits, or placement.

Only an issued policy and its endorsements can provide coverage, and their actual terms, conditions, limitations, and exclusions control. Sending information, following a link, or speaking with CARMA does not bind coverage, change a policy, or create authority to act for an insurer unless an authorized party confirms that authority in writing.

Do not rely on this website to report a claim, request a policy change, satisfy a notice requirement, or meet a deadline. Use the instructions in the applicable policy or written communication. Laws, licensing, appetite, carrier participation, and external sources can change, so confirm time-sensitive matters with CARMA, the controlling source, and qualified advisers.
